Install as an App

Quote Your Balloons can be installed on your phone or tablet home screen for quick access, just like a native app. On Android, tap the browser menu and select "Add to Home Screen". On iPhone/iPad, tap the Share button and select "Add to Home Screen".

Currency

Use the currency toggle in the header (next to your email) to switch between GBP (£) and USD ($). All prices and calculations will update automatically.

Quick Start

  1. Set up your defaults - Go to "My Settings" and enter your hourly rate and profit margin. These will be saved for future sessions.
  2. Add your materials - Enter each material used, along with quantity and unit price.
  3. Enter your time - Add creation time and admin time (in minutes) for the project.
  4. Calculate - Click "Calculate My Price" to see your recommended price.
  5. Generate a quote - Use the quote generator to create a professional PDF for your customer.

2. Detailed Calculator

The Detailed Calculator lets you itemise every material for precise pricing. Use this when you want to track exact quantities and costs.

Materials

Add all materials used in your balloon design. For each item, enter:

Pro Tip: Round Up Your Costs

Always round up unit prices to cover popped balloons, waste, and extras like ribbon. For example, if 12" balloons cost 15p each, enter 20p to account for wastage.

Use the + Add Material button to add more items, and the Clear All button to reset the entire calculator.

Labour

Track all time spent on the project (in minutes):

Use the Hourly Rate slider to set your rate. The calculator converts your minutes to hours automatically.

Overheads

These are your business running costs that aren't tied to a specific order:

What Are Overheads?

Insurance, utilities, rent/storage, equipment, software subscriptions, education/training, marketing, vehicle costs, and more. Use the Overhead Calculator in Settings to work out your per-order overhead.

Delivery & Hire

Profit Margin

This is what allows your business to grow and provides a buffer for unexpected costs.

3. Quick Calculator

The Quick Calculator is a simplified version for faster pricing when you already know your material totals. Perfect for repeat orders or when you've pre-calculated your costs.

When to Use Quick Calculator

Use this when you already know your total material cost and just need to add labour, overheads, and profit. It's faster than itemising every balloon!

Input Fields

Materials Total Enter the combined cost of all balloons and supplies
Total Minutes Combined creation and admin time (in minutes)
Hourly Rate Your rate per hour (uses your saved default)
Overhead (£) Enter your per-order overhead amount (use the Overhead Calculator in Settings to work this out)
Delivery Miles Round-trip distance at 45p per mile
Hire Fee Flat fee for any props, stands, or equipment

Use the Detailed Calculator once to work out material costs for common designs, then use the Quick Calculator for repeat orders with those saved totals.

4. Quick Quote

The Quick Quote tab lets you generate a professional PDF quote when you already know your final price — no calculator needed.

When to Use Quick Quote

Use this when you've already agreed a price with your customer (or worked it out yourself) and just need to send them a professional quote document.

Input Fields

Field Description
Quote Description What the quote is for (e.g. "Birthday Balloon Arch")
Total Price The final price you want to quote the customer
Additional Notes Optional details (e.g. "Includes setup and collection. Colours: pink, gold, white.")

Once you've entered the price, click "Generate Customer Quote" to open the quote form and create a PDF with your business branding.

5. Helium Calculator

Calculate the cost of helium per balloon based on your tank size and price. Essential for pricing helium-filled bouquets and displays accurately.

Tank Presets

Select from common UK helium tank sizes or enter your own manually:

Important: Confirm with Your Supplier

These are approximate gas volumes. Always confirm the exact specifications of your cylinder with your supplier, as gas content can vary between suppliers, cylinder age, and fill pressure.

If your tank isn't listed, select "Enter manually..." and input the gas content in litres, cubic metres, or cubic feet.

Latex vs Foil Balloons

Use the toggle buttons to switch between:

Each type has different helium fill volumes, so make sure you're using the correct type for your order.

How It Works

  1. Select your tank - Choose a preset from the dropdown or enter your tank size manually.
  2. Enter the tank cost - The total amount you pay including rental, refill, or purchase cost.
  3. Calculate cost per litre - Click "Calculate Helium Costs" to see your cost per litre.
  4. Choose balloon type - Select Latex or Foil using the toggle buttons.
  5. Add quantities - Use the +/- buttons to enter how many of each balloon size you need.
  6. See your totals - The calculator shows helium cost and total litres for your order.

Pro Tip: Factor in Wastage

Helium tanks never empty completely. Factor in 10-15% wastage when calculating costs. Also consider that some helium escapes during filling.

If you have a BOC V-size tank (1,810L) that costs £80:

Don't forget to include helium costs in your material costs when using the main calculator. Helium is expensive - make sure you're charging for it!

The Settings tab lets you save your personal defaults so you don't have to re-enter them each time.

Use this tool to calculate your true per-order overhead based on your yearly figures:

  1. Enter your Yearly Revenue
  2. Enter your Yearly Overhead Costs (insurance, utilities, rent, equipment, etc.)
  3. Enter your Number of Orders Per Year
  4. Click "Calculate Overheads" to see your overhead ratio and per-order amount

Settings Are Saved Automatically

Your settings are stored in your browser's local storage, so they'll be there next time you open the app. Click "Save Settings" to apply changes to the calculator.

7. Customer Quotes

After calculating a price, you can generate a professional PDF quote to send to your customer.

How to Generate a Quote

  1. Calculate your price - Complete the calculator and click "Calculate My Price"
  2. Click "Generate Customer Quote" - This opens the quote form
  3. Fill in the details - Enter your business info and customer details
  4. Download the PDF - Click "Download Quote PDF" to save the file

Quote Form Fields

Your Business Name Appears in the header (saved for future quotes)
Your Contact Details Email/phone shown in header (optional, saved)
Customer Name Who the quote is for
Event Date When the event is taking place
Event Type / Occasion e.g., "5th Birthday Party", "Wedding"
Design Description What you're providing (be specific!)
Final Price Pre-filled from calculator (adjust if rounding)
Deposit Required Enter amount if requiring upfront payment
Hire Items Optional - select if including hire equipment (Easel, Hoop, Stand, etc.)
Quote Valid For Number of days (default: 14)

8. The Pricing Formula

Understanding how your price is calculated helps you make informed decisions about your business.

Price = (Materials + Labour + Overheads + Delivery) × Profit% + Hire Fee

Step-by-Step Breakdown

  1. Materials Total = Sum of (Quantity × Unit Price) for all items
  2. Labour Total = (Creation Minutes + Admin Minutes) ÷ 60 × Hourly Rate
  3. Subtotal = Materials + Labour + Overheads + Delivery
  4. Profit = Subtotal × Profit Margin %
  5. Hire Fee = Flat fee for equipment hire (added after profit calculation)
  6. Final Price = Subtotal + Profit + Hire Fee

Round for Easier Quoting

Consider rounding your final price to a clean number (£118.80 → £120 or £125). This makes invoicing easier and looks more professional.

Is my data saved?

Yes! Your settings and business details are saved in your browser's local storage. They'll be there when you return. Note: clearing your browser data will remove these saved settings.

Can I use this on my phone?

Yes! Visit quoteyourballoons.com on your phone — the app is fully responsive and works on all mobile devices. You can also install it to your home screen for quick access (see "Install as an App" in Getting Started above).

What if my price seems too high?

First, check if your competitors are underpricing (common in balloon industry!). If you genuinely need to be competitive, look at reducing material costs or working more efficiently rather than cutting your hourly rate or profit margin.

Should I show the breakdown to customers?

No! Customers don't need to see your costs. The PDF quote shows only the total price, deposit, and balance - keeping your pricing strategy private.

How do I calculate my exact overheads?

Use the Overhead Calculator in Settings. Add up all your yearly business costs (insurance, utilities, rent, equipment, subscriptions, training, marketing) and divide by your number of orders.

What's the difference between overheads and materials?

Can I switch between GBP and USD?

Yes — use the currency toggle button in the header (next to your email address) to switch between £ GBP and $ USD. All prices update automatically.

The app isn't loading properly?

Make sure you have an internet connection (needed to load fonts and the PDF library). Try refreshing the page or clearing your browser cache.

I can't log in - it says "Can't reach login server"?

This usually happens when your browser's privacy/tracking protection is blocking our login service. To fix this:
